What counts as a report?
A report counts when it is created in live mode with a live key, once, in your workspace's calendar month and time zone. Test-mode renders, from a test key or from the Playground in the app, are watermarked and free on every plan, and kept 24 hours. Deleting a report does not refund its units.
What is a unit?
A unit is a report of up to 50 pages. Longer documents count as ceil(pages / 50) units: a 20-page inspection is one unit, a 60-page fleet report is two, a 1,500-page document is thirty. This keeps long documents honest without a separate page tariff. Covers are never counted; photo appendix pages count like any other page. The Free plan's 3-page limit applies to the body of live reports only; test reports render at full length on every plan, so you can try your real document before you pay.
How does the trial work?
Every new workspace starts with 14 days of Standard, without a card: members, webhooks, password links and PDFs, and no watermark. When the trial ends the workspace moves to Free unless you subscribe; subscribing during the trial starts the paid plan at once. Reports made during the trial stay 30 days after it ends, then are deleted unless you subscribe. One trial per person and per company.
Starter or Standard?
Starter is for one or two people: 2 members, one brand, link and expiry access, 1 webhook endpoint, 1,000 units a month. Choose Standard when a third colleague joins, an integration needs more endpoints, a client asks for a password or your own domain, or you send more than 3,333 units a month, where Standard costs less than Starter with overage.
What happens when I pass my included units?
On Standard and above, reports never stop: extra units are billed after each month at your plan's overage rate, on your next invoice (as a separate charge on a yearly plan). Standard workspaces can opt to cap usage at the included amount instead. Starter is capped by default: live requests over 1,000 are refused with limit_exceeded until the month rolls over, unless you turn the cap off and pay $30 per 1,000. Free has no overage; live requests over 50 are refused.
Do you charge per user?
Plans are per workspace, not per user, and viewers, who can open reports but not change anything, are free on every plan. Each plan includes members (editors and up) up to its limit: 1 on Free, 2 on Starter, 5 on Standard, unlimited on Pro and Enterprise. Only Standard sells more, at $10 / mo per member ($100 / yr), up to 25.
Do unused units roll over?
No. The allowance resets at the start of each calendar month in your workspace's time zone. Test reports never use units, so you can try as much as you like before a live run.
How long are reports kept?
On paid plans, hosted reports, their PDFs and the links in emails and QR codes work while your subscription is active, and 30 days after it ends. On Free they are kept 7 days; on Enterprise, as agreed. You can set a shorter time for the workspace or for one report. Test reports are kept 24 hours on every plan. The payload and any images we fetched from your URLs are deleted as soon as the report is ready. Your system stays the record: keep your copy of the PDF.
What happens when I reach my report storage limit?
New live reports are refused with limit_exceeded until there is space, and nothing is deleted to make room. Delete reports you no longer need, add $5 / mo per 50 GB, or move to a larger plan. Test reports never count. Report storage is 1 GB on Free, 10 GB on Starter, 50 GB on Standard, 500 GB on Pro and 2 TB on Enterprise.
What happens if I downgrade?
Nothing is deleted. Templates, brands, members, webhooks, domains and reports stay as they are. The new plan's limits block new items only: you cannot add more templates, members, webhook endpoints or domains than it allows until you are within them. Moving between paid plans changes nothing for your reports. Moving to Free ends the subscription: reports made on a paid plan stay 30 days, then are deleted.
Can I cancel? Do you refund?
You can cancel at any time from Billing; the plan runs until the end of the paid period and does not renew. Your reports and their links stay while the subscription is active and 30 days after it ends, so there is time to download them; subscribe again within those days and they stay. Cancelling never refunds automatically. We refund a payment in full when you ask within 14 days of it, the first time with no questions asked; a refund ends the plan and keeps your data. Overage and AI translation packs are not refundable once used. See the refund policy for the details.
Which add-ons are there?
On every paid plan: more report storage at $5 / mo per 50 GB, billed with your subscription, and more AI translation at $10 per 1,000 units for the current month, charged on your next invoice (at once on a yearly plan). On Standard: more members at $10 / mo per member ($100 / yr), up to 25, and more brand profiles at $10 / mo per brand profile ($100 / yr), up to 25, billed with your subscription; each extra member also adds 100 AI assistant turns a month. Webhook endpoints and custom domains come with the next plan.
How can I pay?
Through Paddle, our merchant of record: by card, and by the other methods Paddle's checkout offers in your country. Enterprise can also pay by invoice.
Is the yearly price a discount?
Yes. Yearly plans are priced at ten months, so you get two months free: $290 instead of $348 on Starter, $990 instead of $1,188 on Standard, $2,490 instead of $2,988 on Pro.
Which AI features are included, and what do they send?
Every AI feature works on text only and runs on Claude: drafting a template's translations (you review them before publishing), translating the report text fields you mark when a report asks for it, short summaries in reports, the designer assistant, and building a draft template from a PDF you upload (its text only; pictures are never sent). Template translations are frozen when you publish, so a report in German or French is rendered exactly the same every time without calling a model. Report translation and summaries send only the marked fields of that one report; the text is processed by Anthropic in the United States; reports, payloads and PDFs stay in the EU. AI features are off for health workspaces. Agents can also create reports through our MCP server on every plan.
Are taxes included?
No. Prices are shown excluding VAT and sales tax. Our reseller and merchant of record, Paddle, calculates and collects the tax that applies to you at checkout and issues the invoice. EU businesses with a valid VAT number usually pay no VAT (reverse charge).
Do template versions count against my templates?
No. Every publish keeps a numbered version of the same template, on every plan, with no limit on versions. Your systems can pin one (inspection@1) and keep using it while you publish the next; you can roll back by making an earlier version current, or retire one nobody should use any more. Only templates count toward the plan's template limit.
What is a brand profile?
A brand profile is a named set of logo, colours, fonts and report title pattern. A report made in a brand names it as the author in the PDF's properties. On Free and Starter you have one, your own; Standard has three. On Pro you can create one per end customer, so a software company can issue reports that carry each of its customers' brands.
What does white-label cover?
The output and the hosted page: the link domain and the report itself carry your brand, and hosted reports set no Pressfox cookie. Paid plans remove the watermark; from Standard, reports live on your tenant subdomain or on your own domain (1 included on Standard, 25 on Pro). From Standard, the PDF's properties name you, not Pressfox; per-brand page titles, favicons and error pages are still being finished. The dashboard your team logs into is not white-labelled.
Is a cheaper plan less secure?
No. Every plan, Free included, gets the same encryption, the same isolation between workspaces and the same EU hosting. Higher plans add control, not safety: zero-retention mode, the audit log download and two years of audit history on Pro and Enterprise.
What is zero-retention mode?
A Pro and Enterprise option: the data you send is deleted as soon as the report is ready, and the report itself a set time later, from 5 minutes to 24 hours (1 hour unless you choose). You collect it in that window by webhook and the API. Sharing by email, AI translation and summaries are off in this mode.
Can we have our own deployment?
Yes, on Enterprise. A private deployment is your own Pressfox instance, with its own database, storage and render workers, shared with no other customer and hosted in the region you choose. We run it, update it and monitor it for you. It is quoted on request with a one-time setup fee and a 12-month minimum term. Running Pressfox on your own servers is not offered.
Do you offer HIPAA business associate agreements?
Not yet. A data processing agreement under GDPR is available on every plan. Health customers who need a BAA or a dedicated health region should talk to us about Enterprise and expect it later, not now.
